New Vacation Leave Accrual Maximum Form & Report Reminder:
Below are a few updates from the Central HR regarding the new Vacation Accrual Maximum Form and procedure. Please review and feel free to let me know if you need any further information.
New! Vacation Accrual Maximum Exception Request Form
A new Vacation Accrual Maximum Exception Request Form along with supplemental information is now available in the Employee Experience Center(EEC) (keyword search: Maximum Vacation Accrual).
Due to the temporary increase in maximum vacation accrual for policy-covered employees that was recently extended by President Drake, which allows for an extension (June 1, 2020-June 30, 2021) for employees to take and continue to accrue leave, non-represented staff currently do not need to complete the new form as the extension is automatically applied through June 2021. However, represented staff are not eligible for the current temporary increase and will need to apply for an extension by means of the updated form and procedure.
On July 1, 2021, policy-covered staff who are over their maximum accrued vacation leave will no longer accrue additional leave until they bring their vacation balance below the maximum or request an additional extension by using the new form.
Supervisors are responsible to complete and submit the Accrual Maximum Exception Request Form to EEC. It is important to note that per the Maximum Vacation Leave Accrual Guidelines, supervisors of the employee requesting the exception are responsible for the form completion and submission to EEC. The EEC team will review the request and submit to UCPC for processing. Forms that are not completed correctly or are missing signatures will not be accepted. The form also includes directions for the supervisor to reach out to their local HR representative or HRBP for assistance. Please work with the supervisors in your school/division to ensure that they are aware of the new form and the guidelines available via the EEC.
You can run the Cognos Leave Balances Report (RUCI12) to identify and monitor the employees within your unit that are close to or already over their maximum accrual level. Please work with impacted employees to reduce their vacation leave balance by developing a scheduled vacation plan.
If the employee cannot reduce their balance, there is also the option to donate to the UCI Catastrophic Leave Program bank. Please share this option with supervisors and employees that may be interested in donating to specific staff or to the general pool of eligible recipients. Winter Administrative Recess 2020-21: This year campus is extending the winter administrative recess period by three additional days. Winter administrative recess will now be from Monday, December 21, through Friday, January 1, inclusive. The last working day of 2020 will be Friday, December 18. The first working day of 2021 will be Monday, January 4. Please refer to Central HR's email issued 11/4/20.
