Research Development - Quick Guide to Extramural Funding

This guide will introduce you to the support staff and resources available to:

  • Assist you through UCI’s internal review process for extramural funding
  • Increase the competitiveness of your grant or fellowship application to an external funding agency or foundation

The Office of Research Development has significant experience in grant application development and offers support to faculty, administrators, post-doctoral fellows, and graduate students by: 

  • Identifying and communicating extramural funding opportunities
  • Reviewing project or proposal content
  • Editing final proposals
  • Assisting with budgets
  • Coordinating institutional approvals

Please utilize this guide as you seek to secure funds for your important humanistic work. 

RESEARCH DEVELOPMENT CONTACTS:
Dr. Suzy Beemer, Associate Director of Research Development, provides consultation about your project, reviews your narrative proposal, and offers suggestions to make your application more competitive. 

Peggie Winters, Contract & Grant Analyst, ensures that your application meets all requirements and that your project budget is appropriate and justified.   

 

PLANNING

  • Make efforts to identify multiple sources of funding and submit your proposal to more than one agency, if allowed.
  • Contact the funding agency to discuss your proposal well in advance of submission. Consult the agency website or ask to speak with a member of the program staff. Be sure to obtain the most recent guidelines and application forms.
  • Prepare a clear, well organized proposal, following application guidelines. Agency guidelines are organized according to the topics that need to be addressed.  Since reviewers must make sure that each proposal addresses each of these topics, it is usually helpful to organize your proposal around them.
  • Seek advice from experienced colleagues and allow enough time for your proposal to be read and revised internally.  Suzy Beemer (sbeemer@uci.edu; x43113) can also review your proposal.

CONTACTS

  • Inform your Department Chair and Manager of your intent to submit a proposal and to request Research Leave or cost-sharing, if needed.  Provide a timeline for proposal components and the funding agency due date.
  • Contact Susan Bertram at sbertram@uci.edu; x41720) to plan a Research Leave.
  • Secure approval of the Institutional Review Board (IRB) if your research project involves Human Subjects.  In Humanities, this usually is in the form of interviews and/or testing of students or members of the community. (www.rgs.uci.edu/ora/rp/hrpp/faq.htm.)
  • Contact Marjorie Beale at mabeale@uci.edu; x48171 prior to contacting a foundation. UCI Foundation Relations coordinates proposal submission to private foundations for the entire campus.

APPLICATION REQUIREMENTS

  • Peggie Winters can review the specific proposal requirements and assist you with any questions regarding the funding agency guidelines and institutional approvals. Contact Peggie at pwinters@uci.edu; x49735 and provide a web link to the program announcement.

BUDGET

  • Peggie can also draft a budget for you.  Send her an email listing the project personnel and the initial amount you would like to allocate for supplies and materials, equipment, and travel.  She can provide a detailed explanation of the cost estimation methods used in preparing the budget and work with you until you approve the final budget.

REQUIRED FORMS

  • Prior to submission to the external funding agency, proposals should be submitted for institutional review using the Administrative Approval form (AA form).  The AA form certifies that the information in the proposal is accurate pertaining to regulatory and campus review requirements.
  • Peggie Winters (pwinters@uci.edu;x 49735) can help you ensure that the AA form is routed for these required signatures:

      Principal Investigator/Faculty Sponsor
      Department Chair
      Dean of Humanities [Allow 2 days for the Dean’s Review]

  • Additional forms, such as financial disclosure (Statement of Economic Interest), may be required.

 

INSTITUTIONAL APPROVALS

  • Proposals should be approved by Sponsored Projects Administration (SPA-UT 380) prior to submission to the external funding agency.  Allow 3 to 7 days for SPA review.
  • Applications to foundations should be approved by Foundation Relations (FR-UT 860) prior to submitting to SPA.   Allow 2 days for FR review.
  • Peggie Winters (pwinters@uci.edu; x49735) can provide instructions to the PI and/or department of the required documents to submit for institutional approval.

FINAL COPIES AND MAILING

  • Preparing final copies and mailing of the proposal to the external funding agency are the responsibility of the PI and/or department.

POST AWARD ADMINISTRATION

  • In many cases, SPA is the official office of record and will be notified by the agency if a proposal is funded.  In some cases, the PI will be notified by the external agency directly.
  • SPA will notify the School and PI of the award and will setup an account number for the grant.  If you have been notified personally, you should contact your department manager to set up an account through SPA so that you may be paid through the university.
PI should contact the department manager for all post-award actions including grant-related hires, payroll, expense spending and monitoring, compliance, no-cost extensions, and award closeout.
